Job Summary
The Administrative Assistant is responsible for supporting the Office and Leadership team to ensure various administrative tasks are completed. The Administrative Assistant will be the first point of contact for incoming client calls and will assist with various administrative tasks in an office environment.

Essential Functions:
The primary duties and responsibilities of the Administrative Assistant consist of but are not limited to:
Administrative Support:
- Answer inbound phone calls and handle or distribute appropriately.
- Provide general administrative assistance and support to the Owner, Vice President and leadership team.
- Manage schedules and coordinate meetings.
- Perform office work such as filing, incoming and outgoing mail, ordering supplies and various duties to ensure things run smoothly.
- Back up dispatch, purchasing and sales support duties when necessary.
- Generate team key performance indicators (KPIs) on a regular basis
- Ensure client experience is of the highest to level to encourage repeat business, referrals and introductions.
Service:
- Communicate with clients regarding service calls, enter call data into system
- Accurately enter data into ERP, managing assigned workflow processes
- Review order details for accuracy
- Cross-check systems data with billing details to ensure accurate costing and billing
- Verify correct part numbers and accurately navigate the Asset Management Program (AIM) to handle client, technician and sales’ needs.
Qualifications:
- 2-5 years of related administrative, customer support or data entry experience preferred
- Experience with client direct B2B industrial sales environment
- Experience with Office 365: Microsoft Outlook, Word, Excel, PowerPoint
- Experience with phone systems and call management practices
- Ability to learn and navigate enterprise resource program (ERP) and CRM software
- Experience in an EOS/Traction environment is helpful but not required
Accountabilities:
- Accurate data entry and process in CRM, ERP and AIM systems
- Establish credibility throughout the organization as a strong support/admin resource
- Timely reporting and data entry
- Partner with D&DT employees to ensure internal efficiencies and collaboration
- Maintain professional relationships with internal and external partners, exhibiting a commitment to D&DTs core values and mission.
